Corporate Secretary [up to $8,000 + AWS]

Responsibilities

  • Manage the Group Finance Controller’s integrated calendar, priority list, and forward schedule to ensure alignment with critical business objectives.
  • Coordinate meeting agendas, briefing materials, decision papers, and pre-read documents, ensuring all required inputs are complete and accurate.
  • Prepare meeting minutes, capture key decisions, and maintain action and decision registers with clear ownership, deadlines, and status tracking.
  • Monitor progress of deliverables and follow up with internal and external stakeholders to ensure timely completion of commitments.
  • Escalate delays, conflicting instructions, and unresolved dependencies to facilitate informed decision-making.
  • Assess and prioritize matters requiring executive attention while coordinating or closing routine matters where appropriate.
  • Establish and maintain confidential filing systems, document control procedures, version management, and record retrieval protocols.
  • Compile timelines, status reports, contact databases, and supporting documentation for ongoing projects and strategic initiatives.
  • Coordinate documentation for financial reporting, statutory submissions, audit, tax, banking, KYC, governance, insurance, and corporate matters.
  • Maintain deadline trackers and records of submissions, approvals, and closures to ensure documentation is readily accessible.
  • Liaise with senior stakeholders, group entities, professional advisers, and external partners while maintaining confidentiality and professionalism.
  • Draft correspondence, follow-up communications, and briefing notes for review or distribution within delegated authority.
  • Handle sensitive corporate, financial, personal, and medical administration information in accordance with confidentiality requirements.
  • Coordinate travel arrangements, appointments, and logistics to support executive effectiveness and operational efficiency.

Requirements

  • 7 to 10 years of experience supporting senior executives or coordinating complex projects within corporate, financial, legal, family office, or professional services environments.
  • Strong experience managing executive calendars, action tracking, meeting coordination, and stakeholder communications.
  • Proficiency in meeting minute-taking, document management, and business correspondence preparation.
  • Excellent written and spoken English communication skills.
  • Proficiency in Microsoft Office applications.
  • Experience handling confidential information and engaging with senior stakeholders.
  • Proven ability to manage multiple deadlines and priorities in environments with evolving requirements.
  • Experience with board administration is an added advantage.
  • Experience with finance, legal, banking, or governance matters is an added advantage.
  • Experience handling KYC requirements is an added advantage.
  • Experience supporting cross-border business matters is an added advantage.
